Virginia’s eVA bidding system plans a September 10–14 shutdown for an upgrade

A deadline for getting ready

Virginia’s eVA procurement website says the system will be unavailable from Thursday, September 10, at 7 p.m. through Monday, September 14, at 7 a.m. during an upgrade. The notice appears on its seller-information page and release-notes page as of September 7.

For a Gretna-area business pursuing state or participating local-government work, the interruption could affect when staff can retrieve documents or work in the portal. The published notice establishes the planned outage; it does not announce a blanket extension of bidding deadlines or confirm arrangements for every purchasing office.

Prepare each opportunity separately

Our practical advice is to make a short list of every active opportunity your business is pursuing. For each one, save the solicitation, attachments, amendments and contact details.

Note the deadline for questions separately from the deadline for submitting a response; they may require different actions.

Before the outage, ask the named procurement contact about any deadline or submission instruction that conflicts with the unavailable period. Keep the written answer with the bid file and look for formal amendments.

A general conversation about the upgrade should not be treated as permission to use a different submission method.

If your response is ready, allow time to complete the required submission process and check its confirmation. A file saved on your own computer and a response successfully received by the purchasing system are two different stages of the work.

After service returns, revisit the opportunity for amendments before relying on downloaded materials. Give yourself time to resolve an account problem rather than assuming the first login will take only a minute.

New sellers have two different registrations to understand

eVA describes itself as Virginia’s procurement marketplace and offers free registration with notifications and other supplier tools. The Department of Small Business and Supplier Diversity separately administers SWaM certification for qualifying small, women-owned and minority-owned businesses.

SBSD’s after-certification guidance tells certified firms to register in eVA to do business with the Commonwealth. Certification can identify a business for applicable purchasing opportunities; it does not submit a bid or guarantee an award.

For a business still exploring public work, use the available time to describe exactly what you sell, the area you can serve and the capacity you can commit. Those answers make it easier to decide which future solicitations deserve the effort of a complete response.
